Keep clear cross-currency records

A useful international-transfer record separates what left one account, what arrived in the other, and what the provider charged. Keeping those figures distinct makes reconciliation and future comparisons much easier.

What to retain for every transfer

  1. The amount and currency sent from the source account.
  2. The amount and currency delivered to the receiving account.
  3. Each fee shown by the provider, including any separate sending, receiving, card, or intermediary fee.
  4. The quoted exchange rate, transfer date, settlement date, and provider reference.
  5. The provider's receipt or statement alongside your local OwnFi record.

Do not treat the difference between two converted figures as a fee unless the provider identifies it that way. Exchange-rate movements, intermediary charges, and recipient-bank deductions can produce different results.

Compare like with like

When comparing transfer options, use the same sending amount, currency pair, destination country, payment method, and delivery speed. A quote funded by bank transfer may differ from one funded by card, and an estimated rate may differ from a guaranteed rate.

  • Compare the final amount the recipient is expected to receive, not only the advertised fee.
  • Check how long the quote remains valid and whether the delivery time is estimated or guaranteed.
  • Confirm that the provider supports both countries and the intended use of the transfer.
  • Review cancellation, refund, and recipient-verification rules before sending.

Record the transfer without double-counting

If both accounts belong to you, record the outgoing and incoming entries as a transfer between your accounts rather than income or spending. Record a disclosed provider fee separately so it remains visible in reports. If the recipient is someone else, categorize the outgoing amount according to its purpose.

Keep the original-currency amount even when you also save a home-currency value. That gives you an audit trail if exchange rates or account balances are reviewed later.
